How to Take Student Attendance Digitally Using Adhyan Parivesh Pro

Introduction

Daily attendance is a fundamental responsibility of school administration.

Paper registers can make attendance consolidation and reporting time-consuming, especially when schools manage multiple classes and sections.

Adhyan Parivesh Pro provides a digital attendance module that allows authorized teachers and administrators to record and review student attendance.

Step 1: Open Student Attendance

Navigate to:

Student Information → Student Attendance

Select the required class, section, and date.

The system displays the students enrolled in that class and section.

Step 2: Mark Students Present

Use the Present option to mark the entire class present in one action.

Then update the attendance status of students who are absent, late, or attending for half a day.

Available statuses:

  • Present

  • Absent

  • Late

  • Half Day

Add remarks wherever necessary.

Step 3: Save the Attendance Register

Review the attendance entries and select Save.

The system stores the daily attendance record.

Attendance is maintained once per student per date. Saving a second register for the same student and date updates the existing record rather than creating a separate period-wise entry.

Step 4: Understand Parent Notifications

Depending on the school's notification configuration, saving attendance can send messages to parents.

A newly recorded absence can trigger an absent notification. Present or late attendance may also trigger notifications when enabled.

Schools should review their notification settings before beginning daily attendance operations.

Step 5: Correct Attendance

Select the relevant class, section, and date.

Update the incorrect status and save again.

Be aware that changing an attendance status can trigger another parent notification.

Step 6: Review Attendance Reports

Use the Reports module to review:

Attendance Submission Report: Identifies classes and sections that have not submitted attendance.

Attendance Percentage Report: Shows student attendance percentages over a selected period.

These reports help school administrators monitor attendance completion and student attendance patterns.

Additional Attendance Options

Depending on the school's enabled modules and configuration, attendance may also be supported through QR code or barcode scanning and biometric devices.

For QR attendance, school start time and late grace minutes should be configured appropriately.

Common Attendance Problems

Teacher cannot see a class: Verify the teacher's class and section allocation.

Attendance dropdown is empty: Check whether the teacher has been assigned to the relevant section.

Parents receive too many messages: Review the notification settings for present and absent attendance.

Attendance is under the wrong academic year: Check the current session indicator.

Conclusion

Digital attendance helps schools maintain organized daily registers, review attendance completion, and communicate relevant attendance information to parents.

With Adhyan Parivesh Pro, teachers and administrators can manage attendance through a centralized school management platform.
